Clock-In Instructions (Cottage):
Clock In and Out for Cottage Caregivers – Access Portal
At Cottage Home Care and Celestial Home Care, we are committed to accuracy, compliance, and efficiency in all areas of caregiver services. A vital part of our home care operations in New York includes accurate timekeeping, which helps ensure caregivers are properly compensated and client care is well-documented. To assist caregivers, we have provided clear instructions on how to clock in and out using our telephone-based system.
These procedures follow the guidelines of the Electronic Visit Verification (EVV) system and are required by New York State Medicaid. It is essential that caregivers use the correct phone numbers, follow the outlined steps, and enter duty codes when prompted. Proper use of these systems helps avoid payroll delays and maintains compliance with home care regulations.
For Cottage Home Care caregivers, the clock-in process begins by dialing 866-982-3022 from the patient’s home phone. Caregivers must then press 1, enter their 6-digit assignment ID, and confirm the entry. The same number is used to clock out by pressing 2, re-entering the assignment ID, and then inputting any required duty codes. Duty codes represent specific tasks performed during a visit, such as bathing, dressing, feeding, or light housekeeping. Codes include: 103, 106, 111, 112, 206, 301, 411, 502, and 511. To finalize the call, caregivers must enter 000.
For Celestial Home Care, caregivers must call 866-979-3669 using the patient’s phone. The process is similar: press 1 to clock in or press 2 to clock out, followed by entering the 6-digit caregiver assignment ID. During clock-out, applicable duty codes should be entered before completing the call with 000.
These clock-in and clock-out procedures are critical for ensuring that time records are accurate and approved for payroll. They also help the agency track services performed and fulfill Medicaid reporting requirements. Every caregiver must be trained on these protocols and should reach out for clarification if needed.
